How to Verify a Thai Shrimp Supplier: 7-Step Due Diligence Checklist

Why Supplier Verification Matters Before Buying Frozen Shrimp from Thailand

The frozen seafood industry has a long history of food fraud — mislabeled species, short-weighted cartons, undisclosed glazing percentages, and falsified quality certificates. For importers sourcing frozen shrimp from Thailand, choosing the wrong supplier can mean costly product rejections, damaged customer relationships, and in regulated markets, potential import bans from your national food safety authority.

This 7-step checklist helps procurement teams and importers verify Thai shrimp suppliers before placing their first container order.

Step 1: Verify FDA/EU/Market-Specific Approval Status

Every legitimate Thai seafood exporter that ships to the USA, EU, or Japan must be registered with the importing country's food authority:

  • USA: FDA Import Refusal database — search the supplier's establishment name at import.fda.gov to check for previous refusals
  • EU: Thailand Department of Fisheries (DoF) maintains the EU-approved establishment list — only companies on this list can export to EU member states
  • Japan: Ministry of Health, Labour and Welfare (MHLW) maintains approved exporter records

Ask the supplier for their EU establishment number (format: TH-XXX-XXX-XX) or FDA registration number and verify directly with the authority.

Step 2: Check Third-Party Certification Validity

Request certificates for all claimed certifications and verify authenticity online:

  • BRC Global Standard for Food Safety: Verify at brcdirectory.com — enter company name and check grade (A, AA, B) and expiry date
  • ASC (Aquaculture Stewardship Council): Verify at asc-aqua.org/what-we-do/certification
  • HACCP: Request the current HACCP plan scope document — a specific, detailed plan indicates genuine implementation vs a template certificate
  • Halal: Verify with the certifying Islamic organization directly (CICOT, IFANCA, etc.)

Step 3: Request and Test Product Samples

Never skip samples. Request a 2–5 kg courier sample of the exact grade and size you plan to order. Evaluate:

  • Glazing percentage: Weigh carton before and after thaw to calculate glaze. Standard PDTO shrimp has 8–12% glaze; higher glaze indicates inflated yield claims
  • Size uniformity: Verify count per pound matches the stated grade (e.g., "21/25" should be 21–25 pieces per pound)
  • Color and aroma: Fresh-frozen vannamei should be translucent-grey with minimal odor. Off-color (excessive whiteness or yellow tinge) or ammonia/iodine smell indicates quality issues
  • Bacterial testing: Send to a certified food safety lab for TPC (Total Plate Count), E.coli, Salmonella, and Listeria testing before approving the supplier

Step 4: Audit Farm Traceability Documentation

Under the USA's SIMP (Seafood Import Monitoring Program), all shrimp importers must maintain farm-of-origin traceability records. Ask the supplier for:

  • Farm name and GPS coordinates (or DBD registration of the farm company)
  • Harvest/purchase receipts linking farm to processor
  • Chain of Custody (CoC) certificate if ASC certified

Suppliers who cannot provide farm traceability are a SIMP compliance liability for US importers.

Step 5: Verify Financial and Legal Standing

Before wiring a 30–50% deposit for a $100,000+ container order, verify the supplier is a real registered entity:

  • Thai DBD (Department of Business Development) registration number — verifiable at dbd.go.th
  • Registered capital and financial statements (suppliers with less than 1 million THB capital warrant extra scrutiny for large orders)
  • Export license from the Thai Customs Department

Step 6: Check References and Transaction History

Ask for 2–3 references from existing buyers in your market (same country or region, similar product). Contact them directly — a professional supplier welcomes this. Questions to ask references:

  • How long have you been buying from them?
  • Have you had any quality issues? How were they resolved?
  • Do shipments arrive with complete documentation?
  • How responsive is the supplier to problems?

Step 7: Review Payment Terms and Dispute Resolution

For first-order risk management, structured payment terms protect both parties:

  • Standard first order: 30% TT advance + 70% against copy BL
  • L/C preferred: Sight or usance Letter of Credit provides the strongest buyer protection — supplier only draws payment upon compliant document presentation
  • Avoid full TT advance: Never wire 100% payment before shipment to a new supplier
